Monthly bookkeeping versus a stressful year-end cleanup

Every January I tell myself I'll stay on top of the books, and every March I'm digging through a shoebox of receipts wondering why I hate myself. Is monthly bookkeeping actually worth it or is it just something accountants say to sell more services? I run a small handmade candle business, mostly Etsy and local markets. The year-end cleanup took me almost two full weekends last time. Trying to decide if I should change how I do things or just accept the annual suffering.

I mean... two weekends once a year vs a couple hours every month. Do the math lol

I switched to monthly about three years ago and honestly the biggest difference isn't the time, it's that I actually know how the business is doing. Before, I'd find out in April that I'd been losing money on a product line since October. Now I catch it in a few weeks.

Counterpoint: I tried monthly and it turned into thiss constant low-grade guilt thing hanging over me. Never felt done. The annual slog is miserable but at least it's contained. Probably depends on your personality.

MarlaPaints

That's fair actually. I sort of enjoy the little ritual now but I can see how it'd be a nag.

MarlaPaints that bit about not knowing you were losing money hits hard. I genuinely have no idea which candles actually make money after supplies and fees.

the real trick is to just never look at the numbers and hope for the best. works for me. (it does not work for me)

What actually helped me was simplifying, not frequency. I got a separate bank account and one card just for the business. Even doing it yearly after that was maybe a third of the pain. So before you commit to monthly, maybe fix the mess first.

soggycereal

QuietOwl_88 that's a good poit. separate account is like step zero.

I do monthly-ish. Some months it's five minutes, some months it's an hour. The key for me was putting a recurring reminder on the first Sunday and just doing whatever's piled up. It's not perfect but the year-end thing is basically a non-event now. Also +1 to the separate account, that's non-negotiable honestly.

RustyNailBrew

ok the separate account thing is the actual advice in this thread and it's buried under a debate about calendars

MarlaPaints

lol fair. But to be honest for a candle business specifically, tracking supplies is the annoying part. Receipts from craft stores, partial rolls of wax, that kind of thing. Monthly makes that way less of a nightmare because you remember what the receipt was for. In March you're just guessing.

BlueMango22

Didn't expect the separate account thing to be the takeaway but I'm writing it down. I think I'll try monthly for a few months and see if it sticks, and if it doesn't at least the account is separate. Appreciate everyone.

update us in march when the shoebox returns

QuietOwl_88

One more thing, don't chase perfection. Half-done monthly beats a perfect system you abandon in February.
