I bought a necessary piece of equipment for my business about three weeks ago, and I can't find the receipt anywhere. It was a legitimate business expense, not huge, around $400, but I need it for my records and possibly for tax purposes. I paid with a debit card, so I have the bank statement showing the transaction. Is that sufficient, or do I really need the actual receipt? Has anyone dealt with this before?
I lost a receipt for something the business genuinely needed
Bank statement might work, but it depnds on the expense and your tax situation. For $400, the IRS generally wants a receipt for substantiation, but a bank statement combined with other proof could be acceptable. What was the item?
Try contacting the vendor. Most places can reprint or email a duplicate receipt if you give them the date and last four digits of your card. I've done that with office supply stores before.
This is why I scan everything immediately. But since you didn't, the vendor reprint is your best bet. Some will charge a fee or refuse if it's past 30 days, but worth asking.
Bank statement alone typically won't cut it if you get audited. You need something showing what was purchased, not just that money left your account. A duplicate receipt from the seller is the cleanest solution.
Wow, lots of tax expert here. I'd just call the store. Usually works.
If the vendor can't help, you could also check your email. Even if you didn't get a paper receipt, some places send digital ones automatically. Worth searching your inbox for the store name or the amount
For $400, I wouldn't panic. The risk of audit on that amount is low. But you should still try to reconstruct the record. Write down the date, amount, vendor, and what it was for, and attach the bank statement. That's better than nothing.
OP, did you buy it online or in person? If online, the order confirmation email usually counts. If in person, you might be stuck with the bank statement and a note to self, though.
