Keeping business and personal transactions separate is harder than expected

I run a small handmade soap business from home. I thought I could keep things separate by using a different debit card, but after three months, my personal and business purchases are completely mixed up. I've used the business card for groceries when my personal card was declined, and I've paid for soap supplies with cash from my personal wallet. Now I have no idea where I stand for taxes. How do you actually keep them separate when you're a one-person operation?

The only thing that worked for me was a separate bank account at a different bank. Not just a different card. I strill carry both cards, but the physical separation of driving to another bank to deposit cash made me more conscious. It's not perfect, but it cut down the mix-ups a lot.

What helped me was setting a rule: business card only for business. If I ever use it for personwl by mistake, I note it immediately in a small notebook I keep in my bag. At the end of the week, I transfer the amount from personal to business. The notebook is key because the memory fades fast.

I don't think it's realistic to never mix them. The goal is to have a clear record when you do. I use a simple spreadsheet and log every transaction from both accounts. It takes ten minutes a day, but at tax time it's all there. The separate card is just the first step, not the whole solution.

I hadn't thought about logging the mistakes. I've been trying to pretend they don't happen. Maybe I need to accept that some mixing is going to occur and just document it.

I gave up on the separate card and switched to a separate account with a monthly transfer. I pay myself a set amount from the business each month into my personal account. All business expenses come out of the business account. It's like a paycheck. That made it much clearer.

Have you looked at whether your bank offers sub-accounts? Mine lets me create a second account under the same login with no extra fees. It's not as separate as a different bank, but it's easier to manage and the transactions are still distinct.

Sub-accounts can work, but I found I still had to be disciplined about which card I grabbed. The Physical separation of a different bank was what finally made it stick for me. Everyone's different though.

One more thing: I stopped using cash for business entirely. Everything goes through the card or a digital payment app that links to the business account. Cash is where I lost track thee most. If a customer pays cash, I deposit it that same day.
