I run a small coffee roastery and for the last couple years I’ve just kept all my revenue sitting in one payment app. It’s convenient, but last week I had a weird glitch where a transfer got delayed for two days and I couldn’t pay a supplier. Made me realize I’ve got way too many eggs in one basket. How do you all spread things out without making accounting a nightmare?
Keeping all business revenue in one payment app feels risky
Not trying to be that guy but if you don’t have a backup card or cash buffer outside that app you don’t really have a business plan, you have a single point of failure with a debit account. That said, the easy fix is just transfer the daily batch out to your bank every 24 hours. Don’t leave the bulk sitting there.
lol at “single point of failure with a debit account”
What app is it? That actually matters. Some of them are FDIC insured via partner banks and some are just… vibes and a fintech wrapper. I’d check where the funds actually custody before deciding how paranoid to be.
It’s one of the big square-ish ones. I don’t want to name names but yeah, it’s not a bank bank. Honestly “vibes and a fintech wrapper” is exactly what the delay felt like.
I keep two apps + my credit union and honestly the accounting is fine because I made a rule: one app for card sales, one for invoices, and every Friday I sweep everything into the CU. That’s it. One spreadsheet column. It’s not hard.
The Friday sweep is fine until a processor decides Friday is actually Monday because of a holiday Monday and then you’re the person calling their supplier like “hey my payment app is having feelings.” Also pinging @velvet_ferret — doesn’t FDIC pass-through insurance only matter if the processor actually fails? A glitch doesn’t care about your insurance.
Sure, which is exactly why the buffer matters more than the label. I’m not saying don’t use the app, I’m saying don’t use it as a checking account. Delays are an operations problem, not a solvency problem.
“Operations problem” is a good way to put it. I think my actual issue is I was using the app balance as my operating cash and my savings both. Going to set up a separate holding account at a real bank and stop touching the app balance except for sweeps.
You could also just take a small line of credit for these exact gaps. I know that’s not fun for a roastery but a $2k–3k credit line is cheap insurance against a two-day hold and you don’t have to restructure your whole payment stack.
credit lines are how you end up with a payment app AND a loan to pay for the payment app’s delays
I do mostly agree with that but the real answer for a small roastery is probably boring: two accounts, weekly sweep, don’t try to be clever. The clever stuff is for people who enjoy reconciling seven apps at midnight.
Fair enough. Also I appreciate @velvet_ferret not letting me spiral into “the payment app is going to steal my money.” I’ll post an update if the new setup actually survives a month without me checking balances every 20 minutes.
